Corporate Profile Report for QuickBooks Online — Every Province and Federal

QuickBooks Online asks Canadian corporations using Payments or Payroll direct deposit for a current government document showing the business name, address and directors — usually called a corporate profile report. Every registry calls it something different. This page lists the document Intuit names for each province and federally, and CRS can get any of them for you for $69 + GST.
What QuickBooks Online asks for
Because QuickBooks Payments and Payroll direct deposit fall under FINTRAC, Canada's anti-money-laundering regulator, Intuit asks a private corporation for:
Direct from the government registry. Government fee included. Delivered as a PDF within one business hour.
- the name and address of every director,
- the name and address of everyone owning 25% or more, and
- one current government-issued document showing (a) the business name and address, (b) the business name and directors, or (c) all three. A company/corporate profile report, articles or certificate of incorporation, or an unexpired business licence all qualify.
New Payments or Payroll customers have 30 days from sign-up to provide it; Intuit says reviews for new customers typically take 2–3 business days.

Nunavut isn't in Intuit's table. A corporate search from Nunavut's registry showing the corporation's name, address and directors meets the same test Intuit describes.
Which registry: where you're incorporated, not where you operate
Use the report from the jurisdiction the corporation was incorporated in. A federal corporation that operates in Alberta needs Corporations Canada's Corporate Profile, not an Alberta search. A company incorporated in Ontario but working in Manitoba needs the Ontario Profile Report.
Province by province
Federal
Corporations Canada's Corporate Profile shows the corporation number, name, status, registered office and directors. Intuit notes that uncertified copies are acceptable for QuickBooks.
Manitoba
The Manitoba Companies Office report shows the corporation's registration details, registered office and directors.
Saskatchewan
The Saskatchewan Corporate Registry Profile Report shows the corporation's status, registered office and directors.
Québec
The Registraire des entreprises record ("état de renseignements") shows the enterprise's name, addresses, and its directors and principal shareholders as declared to the registry.
Nova Scotia

New Brunswick, Prince Edward Island and Newfoundland and Labrador
Each registry produces its own report from its corporate database (CARD in New Brunswick, the PEI Corporate Registry, and Companies and Deeds Online in Newfoundland and Labrador). Some of these registries can't be searched instantly online — CRS retrieves the record and emails it to you.
Yukon, Northwest Territories and Nunavut
The territorial registries produce an entity profile showing the corporation's status, registered office and directors. CRS retrieves it and emails you the PDF.
Before you upload, check the report matches QuickBooks
Whatever the province, uploads usually fail because the report and the QuickBooks form disagree:
- Legal name — use it exactly as the registry shows it.
- Directors — if the board changed and the registry wasn't told, file the change first, then order a fresh report.
- Address — an unreported move means the report shows the old address.
- Status — a corporation that's behind on annual returns can be struck or dissolved. Fix that first.

- Choose it from the results, enter your details and pay $69 + GST.
- We email you the registry's PDF within one business hour. For registries that can't be searched online, we tell you when to expect it.
Uploading it in QuickBooks Online
Use the link in Intuit's email, the banner inside QuickBooks Online or the notice on the Payroll Overview page. Upload the PDF and enter the director and owner details. Intuit says the reminder can keep appearing for 2–3 business days after a successful upload; if it asks for more, its follow-up email links to the resolution centre with the details.
